Meeting booking privacy

This page explains how CityShop OÜ (Magentopood) handles data through Magentopood Meeting Bookings when you book a business meeting with Peep Mumm on magentopood.ee. For questions, email peep@magentopood.ee.
What do we ask for?
To book, we ask for your name, email address and a short description of what you would like to discuss. Your website address and phone number are optional. We also save your chosen time, timezone and language, plus the booking status and reference.
I use these details to prepare for our meeting, send your invitation and contact you about the meeting when needed.
Google Calendar and Google Meet
You can book without signing into Google or granting access to your calendar. Peep authorizes the Google connection in the website administration area.
The connection verifies the host's Google account email, reads the selected calendar's settings and busy intervals, and creates, retrieves and cancels calendar events booked through this form. Calendar settings are also used to check Google Meet support. Finding available times does not retrieve the titles or descriptions of other events. Visitors see only times that can be booked.
To create your meeting, we send Google your name, email, chosen time and timezone, together with the website address, discussion topic and phone number you enter. These details are included in the calendar event. Google creates the Meet link and sends the calendar invitation. The website also emails you and Peep a confirmation with a calendar file (.ics), using the website's email service. The event is available to its participants and anyone granted access through the host's calendar.
Google handles data under its Privacy Policy. Magentopood Meeting Bookings' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This booking integration does not sell Google user data or use it for advertising.
Where is data stored?
Booking details are stored in the website database. We also save the host account and calendar identifiers, the created event's identifiers, the Meet link and email-delivery status. Invitations and emails also remain in the participants' calendars and mailboxes.
Bookings are managed through an administration area with restricted access. The Google connection's client secret and long-term access credential are stored encrypted in the website settings. Busy intervals are processed during availability requests.
Cancellation and deletion
You can cancel through the link in your confirmation email. Keep that link private: it gives access to view and cancel your booking.
Booking details are retained to manage the meeting and resolve possible delivery issues. There is currently no automatic deletion schedule. Cancelling does not automatically erase the website's booking record or earlier emails and invitation copies.
To request access, correction or deletion of your details, email peep@magentopood.ee. Peep can disconnect Google in the website administration area and revoke permission through Google Account connections. Disconnecting does not delete existing meetings or booking records.
